Pharmacy POS and inventory

Overview

Overview

Pharmacies do not have ordinary inventory problems. Stock expires, batches matter, and a product sitting in the wrong branch is a product nobody can sell.

We built a point-of-sale and inventory system around those three facts rather than treating them as exceptions.

The brief

The pharmacy ran three locations on a counter system that recorded sales and nothing else. Expiry was tracked on paper, transfers were arranged by phone, and stock counts disagreed with the shelves.

The requirement was simple to state: know what is on the shelf, what is about to expire, and where it needs to be.

What we built

  • Barcode-driven point of sale, with batch and expiry captured on receipt
  • Expiry alerts raised before stock becomes unsellable, not after
  • Multi-location stock transfers with a movement record for every unit
  • Purchasing and supplier records tied to what actually sells
  • Reporting for slow movers, near-expiry stock and branch-level margin

Expiry is the hard part

Every unit carries the date it arrived and the date it dies. The system works forward from those dates - flagging what to discount, what to transfer to a busier branch, and what to write off - instead of reporting a loss after it happens.

Outcome

Three branches that share one accurate picture of stock, a paper expiry sheet that no longer exists, and a counter that takes seconds per sale.

The Challenge

Three locations shared a till that recorded sales and nothing else. Expiry lived on a paper sheet, transfers were arranged by phone, and no two stock counts agreed - so the pharmacy was buying stock it already had and writing off stock it could have sold.

Our Approach

We built the system around movement rather than counts: every sale, transfer and adjustment writes a record, and each unit carries its batch and expiry from the day it is received. Alerts work forward from those dates, so near-expiry stock is discounted or moved before it becomes a write-off.
