JAADA: Umrah travel ERP and booking system

Overview

Overview

JAADA is a travel agency working mainly in religious tourism - Umrah and Hajj - and it needed two things that usually live in separate products: a booking system for hotels and tickets, and the back-office ERP that runs the operation behind it.

We delivered both as one system, because a pilgrimage booking is not finished when the seat is confirmed - it continues through visa processing, room allocation, group manifests, transport and settlement.

The brief

A pilgrim buys a journey, not a flight. The purchase starts with a package or a hotel near the Haram, moves through documents and dates that cannot be missed, and ends with a group actually travelling.

The agency was coordinating all of that across supplier emails, spreadsheets and WhatsApp groups. Confirmed bookings and confirmed rooms were two different documents, and nobody could answer "how many pilgrims are on this flight and where are they staying" from one screen.

Search and booking

  • Hotel search by city, dates, distance from the Haram, room type and board basis
  • Ticket search across carriers, routes and fare rules, with the itinerary shown in full
  • Packages that combine both, priced per occupancy and season
  • Booking, amendment and cancellation flows that keep the supplier reference with the reservation
  • Documents - passport, visa, vaccination and ticket - attached to the traveller, not to an email thread

The ERP behind it

The booking engine sits on top of a back office that runs the agency:

  • Customer and group management - families, group leaders and their pilgrims
  • Supplier and contract management for hotels and consolidators
  • Invoicing, receipts, partial payments and refunds per booking
  • Visa and documentation tracking, with expiry and deadline alerts
  • Transport and room allocation, with manifests per departure
  • Reporting on occupancy, margins and departure readiness

Religious travel specifics

Umrah and Hajj have constraints that generic travel software ignores: seasonality that moves every year, room blocks that are negotiated by distance from the Haram, and departures where one missing document delays a whole group.

We modelled those as first-class fields rather than notes, so a departure can be checked for readiness instead of discovered at the airport.

Outcome

One system from search to settlement: a pilgrim's booking, the room it depends on, the documents that make it valid and the invoice that closes it all sit in the same record.

The Challenge

The agency was selling pilgrimage packages and coordinating delivery across supplier emails, spreadsheets and chat groups. A confirmed booking and a confirmed room were two separate documents, visa deadlines lived in someone's calendar, and no single screen could answer how many pilgrims were on a departure or where they were staying.

Our Approach

We built the booking engine and the back office as one system: hotel and ticket search, packages that combine them, and a reservation that carries its supplier references, documents, room allocation and payments. Visa and documentation deadlines, seasonal room blocks and per-departure manifests were modelled as real fields so readiness can be checked before the day of travel rather than at the airport.
